Get Started with Repository on ICM

Signing a contract is just the beginning. Once a document is signed, finding it, tracking it, and sharing it with the right people becomes just as critical. The Repository in Signeasy is your central contract library — a single source of truth for you and your team to access, organize, and collaborate on contracts.

A well-set-up repository means anyone on your team can find what they need in under 30 seconds.

Step 1: Bring All Your Contracts into the Repository

Navigate to the Repository by clicking Repository in the menu bar.

The Repository stores both newly signed contracts and historical ones:

  • Newly signed contracts are automatically saved to a path you specify.

  • Historical contracts can be imported manually.

Importing Contracts

"Import Contracts" button on the Repository page → dropdown with four sources: File, Folder, OneDrive, Google Drive. Any source opens a modal — two steps normally, or one step if Signeasy AI is org-disabled.

Step 1 — Review

  • File mode: individual rows (filename, size, remove ×), "Add more files" link

  • Folder mode: single flat row (folder icon, name, remove) — no file count/size/expand exposed, "Add another folder" link

  • Info banner explains what happens next

Step 2 — Tag

Three radio-card options, in order:

  1. Tag manually — pick a type from a dropdown (grouped System/Custom); reveals a preview panel of key terms as chips (indigo = system, green = custom, with a legend)

  2. Let Signeasy AI tag itdefault, "Recommended" — Lumen auto-detects type + extracts key terms

  3. Create a new contract type — opens Create Contract Type side sheet over the modal; on save, returns to Step 2 with Manual pre-selected and the new type pre-populated. Owners/Admins only — Workspace Admins/Members see it disabled with a lock tooltip

Step 2: Organize Contracts into Folders

A clear folder structure makes contracts easy to find for everyone on your team.

Creating a Folder

  1. Click the Create Folder button.

  2. Enter a relevant folder name.

  3. Click Create.

Moving Files into Folders

You can drag and drop any file or folder into another folder. For example, drag an NDA directly into your NDA folder.

Folder Structure Tips

Organize folders in a way that makes sense for your team — by contract type, project name, region, or any other logical grouping. You can also create subfolders within folders for more granular organization.

Step 3: Assign Contract Types

Contract types add a powerful layer of organization on top of your folder structure.

Assigning a Contract Type to a Single File

  1. Click the contract type dropdown on a file.

  2. Select the appropriate type (e.g., Non-Disclosure Agreement).

  3. Click Add Contract Type.

Assigning Contract Types in Bulk

  1. Select multiple contracts using multi-select.

  2. Click the Tag Contract Type button.

  3. Choose the contract type from the dropdown.

  4. Click Update Contract Type.

Assigning the correct contract type doesn't just help with organization — it enables faster search and more accurate key term extraction.

Step 4: Control Access with Workspaces

Organizing contracts is only half the story. The other half is making sure the right people have visibility.

Workspaces are collaborative workspaces that bring together the right team members. Each workspace has its own repository and folder structure, and only members within a workspace can access its files.

For example:

  • A Legal workspace has its own repository for legal contracts.

  • A Sales workspace has its own repository for sales agreements.

This keeps contracts accessible to the right people without exposing them to the entire organization.
