Getting Started with Workspaces

Workspaces in Signeasy offer a simple and organized way to manage contracts across your teams, departments, or projects. Each one holds its own documents, templates, and Repository data—making it easier for users to stay focused and collaborate securely.

This guide explains what Workspaces are, how they work, and how you can start using them to keep your organization structured and efficient.

What Are Workspaces?

Workspaces are dedicated areas inside your Signeasy account that help you separate contract work based on teams, functions, or projects. Instead of storing everything in one cluttered place, workspaces allow you to distribute access intentionally and keep related documents grouped together.

Types of Workspaces

  • My Workspace – A personal workspace visible only to you.

  • Company Workspace – Shared with all members in your organization.

  • Shared Workspace – Restricted spaces visible only to invited users. Can be used for teams, departments, projects, regions, etc.

Why Use Workspaces?

Workspaces help your organisation:

  • Keep documents organized by purpose or department

  • Ensure contract visibility is controlled appropriately

  • Simplify collaboration with teams and stakeholders

  • Maintain clarity on what documents belong where

Creating a New Workspace

  1. Go to the top navigation bar.

  2. Select Workspaces in the dropdown.

  3. Click Create workspace.

  1. Enter your workspace name (e.g., "HR", "Legal", "Marketing Q1 Projects").

  2. Add members as needed.

Your new Workspace is now ready! You can start adding documents, templates, and workflows.

Adding Members to a Workspace

  1. Open the workspace you want to manage.

  1. Select Manage Members.

  2. Enter the user’s email address.

  3. Assign permissions (if applicable).

Members will receive an email invitation to join this space. Once accepted, they will see all content associated with that Space.

Navigating Between Workspaces

You can switch workspaces anytime using the top navigation menu. Each workspace displays its own:

  • Documents

  • Templates

  • Repository folders

  • Completed workflows

A Workspace indicator at the top of the screen helps you confirm where you are working.

Workspace-Based Workflows

Any workflow you start is tied to the workspace you’re currently in. This ensures completed documents automatically route to the correct area and stay visible only to relevant people.
