How to use the Signeasy for Sheets™ Extension?

Signeasy for Sheets™ lets you send documents for e-signature directly from a Google Sheets™ using a Signeasy template. Each selected row becomes a separate send, and values in the row can populate recipient roles and merge/pre-fill fields in your template.

Prerequisites

  • Access to Google Sheets™.

  • A Signeasy account with at least one Template containing one or more roles and optional merge fields (reach out to support to enable merge fields for your account).

  • A Sheet with clearly labeled column headers.

Install & Connect

  1. In Google Sheets™, open Extensions → Add-ons → Get add-ons and install Signeasy for Sheets™ (Google Workspace Marketplace).

  2. In your Sheet, go to Extensions → Signeasy for Sheets™ → Configuration.

  3. Click Authenticate with Signeasy and follow the sign-in prompts.

Prepare Your Sheet

  • Headers: The first row must contain column names (e.g., Signer Email, Signer First Name, PO Number, etc.).

  • Role columns: For each role in your Signeasy template, include:

    • An Email column.

    • A First name column.

    • A Last name column (optional).
      The column names can be anything. You’ll map them later.

  • Field columns. Add any other columns you want to pass into your template’s Merge or Pre-fill fields (e.g., Company, Start Date, Amount). 

Tip: Keep one row per intended send. If you plan to send to multiple recipients for the same transaction, include columns for each role (e.g., Approver Email, Approver First Name).

Map Your Template & Fields

  1. Go to Extensions → Signeasy for Sheets™ → Template mapping.

  2. In the Select template, choose a template from your Signeasy account.

  3. In the Role mappings tab, map your Sheet columns to each role’s Email, First name, and (optional) Last name.

  1. In the Merge field mapping tab, map your Sheet columns to the template’s Merge / Pre-fill fields.

  1. Click Save Mappings.

Send for Signature

  1. In the Sheet, select one or more rows you want to send.

  2. Go to Extensions → Signeasy for Sheets™ → Send for signature.

  3. The add-on adds a Signature Status column and updates it with the result for each processed row, along with Last Updated and Envelope ID columns.

Typical ‘Signature Status’ values

  • Sent – Request created successfully.

  • Failed – The row couldn’t be processed. An error message will be added in the Error Message column.

Best Practices

  • Validate emails before sending (e.g., use simple data validation in Sheets™).

  • Keep headers stable. If you rename columns, revisit Template mapping.

  • Test with one row first to confirm mappings and field population.

  • Use separate columns per role when your template has multiple recipients.

Troubleshooting

  • Authentication fails - Re-open Configuration and click Authenticate with Signeasy again. Ensure your Signeasy account is active.

  • No templates listed - Confirm you have templates in Signeasy and the signed-in account is the correct one.

  • Missing role columns - Add Email/First name (and optional Last name) columns for each role, then re-map.

  • Merge fields aren’t populated - Check that field names in your template match the mapped fields and that the Sheet cells aren’t blank for those rows.

  • Batch send not triggering for all rows - Make sure all selected rows have required data and aren’t filtered out; try sending smaller batches to isolate issues.
