Save to Cloud in ICM

The Save to Cloud (document export for archival) feature in ICM is now configured at the workspace level instead of the user level. This change ensures that completed documents are automatically exported to the cloud account connected to each workspace.

Why This Matters

Previously, cloud exports were tied to individual users’ personal cloud accounts. This created several challenges:

  • Lack of centralized visibility and control

  • Difficulties in maintaining audit trails

  • Compliance risks due to scattered storage locations

With workspace-level configuration:

  • Cloud exports are centralized and standardized

  • Account Owners and Admins gain better governance

  • Documents are routed to the correct departmental cloud destinations

  • Organizations can enforce consistent audit and compliance practices

How It Works

Completed documents are automatically exported to the cloud account connected at the workspace level. Permissions for connecting cloud accounts vary based on workspace type and user role.

Permissions by Workspace Type

Company Workspace

  • Account Owners & Admins: Can connect cloud accounts by default

  • Account Members: Do not have permission to connect

My Workspace

  • Account Owners & Admins: Can connect cloud accounts by default

  • Account Members:

    • Permission can be granted or revoked via invite/edit user flows

    • Disabled by default

Shared Workspace

  • Account Owners: Can authorize Workspace Admins to connect

  • Workspace Admins: Can connect if authorized

  • Workspace Members: Do not have permission to connect

Additional Notes

  • Cloud Import remains user-level

    • Users can continue importing documents from their individual cloud accounts

    • This change only affects export (archival) behavior.
